Terms of service
Last updated: 28 October 2026 · Applies to the OrdenZ app, server and website
These terms are the agreement between your cafe and OrdenZ ("we", "us") for using OrdenZ, the self-order kiosk and point-of-sale (POS) service. By creating an account or using OrdenZ, you agree to them. If you use OrdenZ for a business, you confirm you're allowed to accept these terms for it.
1. The service
OrdenZ gives your cafe a counter POS, self-order kiosk, kitchen and token screens, table QR ordering, stock and recipes, reports and the other features described on our website. The features you can use depend on your plan. We keep improving OrdenZ and may change, add or remove features; if we remove something important in your paid plan, we'll tell you at least 30 days before.
2. Your account
- Give correct details when you sign up, and keep your owner password and staff PINs private. You're responsible for what happens under your account, including what your staff and devices do.
- Tell us straight away at hello@ordenz.com if you think someone else has used your account.
- You must be at least 18 to create an account.
3. Plans, trial and payment
- New cafes get a free 30-day Pro trial that starts with the cafe's first real bill. After it, the cafe moves to the plan it chose, or to the Free plan.
- Paid plans are billed in advance, monthly or yearly, through our payment provider. Prices are shown in the app and on our website; in Malaysia, plans are quoted.
- You can cancel at any time. The plan stays on until the end of the period you've paid for, and then won't renew. We don't refund part-used periods, except where the law requires it.
- If a payment fails, we'll tell you and give you time to fix it before the cafe moves to the Free plan. Your data stays.
- If we change a plan's price, we'll tell you at least 30 days before your next renewal at the new price.
4. Your data
- Your cafe's data (menu, bills, customers, staff, stock and so on) belongs to you. We use it only to run OrdenZ for you, as our privacy policy describes.
- You can download your sales and accounts from the app at any time, and delete your account and its data (see how to delete your account).
- You're responsible for having permission to keep your customers' details in OrdenZ (for loyalty, bookings, catering and e-invoices), and for any consent marketing messages need.
5. Your responsibilities
- Taxes and bills. OrdenZ calculates taxes from the settings you choose (such as GST in India, SST and service charge in Malaysia). You're responsible for choosing the right settings, for your tax registration and returns, and for checking bills before you rely on them. Ask your accountant if you're unsure.
- E-invoices. In Malaysia, OrdenZ prepares e-invoice files. You, or your e-invoice provider, check, sign and submit them to MyInvois.
- Payments. UPI, card and other payments go through your own payment provider account, on that provider's terms. OrdenZ isn't a bank or payment provider and never holds your money.
- Hardware and internet. Tablets, printers, cash drawers and internet are yours to choose and look after. Test your set-up before your first busy day.
6. Fair use
Don't use OrdenZ to break the law, send spam, store data you have no right to keep, attack or overload our servers, get into another cafe's data, or copy or resell OrdenZ. We may suspend an account that does, and we'll tell you why unless the law or security stops us.
7. Availability and support
- We work to keep OrdenZ running all day, every day, but we can't promise it will never be interrupted. Updates usually go out in quiet hours. If the internet or our server is down, the counter keeps billing offline and sends the bills when it reconnects.
- Help is available from the Help button in the app (WhatsApp chat or feedback), on WhatsApp and by email; see help and support.
8. Other services
Some features use services run by others: payment providers (Razorpay, PhonePe), WhatsApp (Meta), AI providers you choose, delivery apps and your e-invoice provider. Their own terms apply, and we're not responsible for them.
9. Liability
OrdenZ is provided as it is. As far as the law allows, we aren't liable for indirect losses such as lost profit, lost sales or lost data, and our total liability for any claim is limited to what your cafe paid us in the three months before it. Nothing in these terms limits liability that can't be limited by law.
10. Ending
You can stop using OrdenZ and delete your account at any time. We may end or suspend an account that seriously or repeatedly breaks these terms, or if we have to stop the service; if we stop the service, we'll give you at least 60 days' notice and time to download your data.
11. Changes to these terms
If we change these terms, we'll post the new version here with a new date, and tell owners in the app or by email at least 14 days before a change that matters to them takes effect. Using OrdenZ after that means you accept the new terms.
12. Contact
